Start with identity, not promotional decoration

Freeze the exact title, subtitle, series name and number, author or pen name, contributor credits, language, and edition statement before producing sales copy. These strings appear in the retailer record, ebook metadata, title page, copyright page, running heads, cover, spine, and sometimes the file name. A punctuation or byline change that seems cosmetic can create contradictory listings or force multiple files to be rebuilt. Keep the approved spellings in one project record and copy from it rather than retyping from memory.

Metadata is not just keywords. It is the set of facts that lets a retailer, library, distributor, printer, search engine, and reader understand which work and edition they are looking at. Search language matters when it describes the book truthfully, but repetition cannot repair an unclear category, inaccurate description, or mismatched format.

Write the description for a decision

The description has one job: help the intended reader decide whether this book offers the story, problem, method, or experience they want. Fiction needs a point of view, desire, obstruction, and stakes without summarizing the ending. Practical nonfiction needs the reader, problem, distinct method, and evidence the manuscript actually contains. Memoir needs a lived situation, pressure, change, and perspective without promising the same outcome for everyone.

Approve a full retailer version first, then adapt it for the physical panel. Do not shrink the type until an overlong description fits. The printed back must also accommodate the author bio, endorsements when earned, publisher mark, and barcode safety area. Editing the copy is usually the more readable production choice.

Make the author bio accurate at every length

The short bio should state what the author writes and the current book. The back-cover version can add directly relevant experience and one memorable human detail. The press version can provide context useful to an interviewer, event host, bookseller, or reviewer. None of those surfaces authorizes invented bestseller status, awards, degrees, clients, years of experience, publication history, or media appearances.

Keep first- and third-person versions only when they serve different destinations, and date the approved master. A changed job, location, website, pronoun, forthcoming title, or series order should prompt a review before reprinting. Keep the dedication personal and separate

The dedication is front matter, not metadata a retailer distributes, but it belongs in the same edition record because its names, privacy choices, wording, and line breaks become part of the published book. Record contributions and consent in acknowledgements

Acknowledgements identify the real editorial, creative, research, institutional, and personal help behind the book. Keep an exact-name list beside the draft, state what each person actually contributed, and distinguish thanks from endorsements, licensed credits, or formal disclosures. Obtain permission before publishing sensitive personal information or naming someone whose involvement was private.

Trade books commonly place acknowledgements in the back matter, while academic or research-heavy work may place them in front. Treat copyright and identifiers as edition records

The copyright page normally identifies the title, rightsholder, year, edition, publisher or imprint, and relevant ISBN, with notices appropriate to the work. It is not a copyright registration and should not imply one. Fiction may use a conventional resemblance disclaimer; nonfiction may need carefully reviewed professional or limitation wording when the subject creates legal or safety risk.

An ISBN identifies a particular edition and format rather than the abstract manuscript. Paperback, hardcover, and other separately sold formats normally have different identifiers. The printed barcode is a machine-readable rendering of that number, not an ISBN assignment service. Verify the digits against the edition record before placing the barcode on the final wrap.

Let the interior determine the cover geometry

Import the final manuscript, inspect its chapter and matter structure, choose the trim and typographic theme, then proof the actual pages. The final page count drives the print spine. Changing a font, margin, illustration, chapter opening, or paragraph can repaginate the book and invalidate a cover calculated earlier.

The dedication and copyright page belong in the opening matter; acknowledgements and About the Author usually belong in the back matter for a trade book. The formatter recognizes those roles, orders them around the main text, and lets the final page count flow into the cover project. Once the interior is stable, rebuild the wrap from the current printer template and place the approved short description and bio on the back.

Maintain one source of truth after publication

Archive the approved metadata beside the exported files: edition identifier, date, retailer description, short and long bios, dedication, acknowledgements and consent notes, categories, keywords, ISBN, price, publication date, rights and territory decisions, trim, binding, paper, page count, and the printer template used. Record later corrections instead of silently overwriting the evidence of what was published.

When a new edition changes the title, contributor credit, content, pagination, format, or identifier, reopen the record and identify every dependent output. The goal is not administrative perfection. It is a reproducible path from the book the reader sees online to the book the printer manufactures and the files the author can correct later.
